DUTIES AND RESPONSIBILITIES:
Shop vendors to locate parts and identify the best price.
Request quotes on all needed parts and complete proper paperwork as required by the Department Accounts Payable in order to request purchase orders.
Order and maintain parts inventory sufficient for fleet size.
Maintain required spreadsheets (excel and BSIP).
Verify parts when received by vendors.
Reconcile packing slips with inventory orders and shipments.
Follow up on backordered parts.
Examine all invoices for accuracy before approving and submitting for payment.
Invoices to be processed daily.
Receive parts into BSIP (Business System Information Portal) when received from the vendor Replenish route mechanics truck inventory daily Frequently monitor re-order levels, especially for high consumption items.
Conduct annual parts inventory for DPI.
Analyze parts shortages and overages and develop corrective actions to eliminate identified errors.
Conduct monthly inventory audits to ensure inventory accuracy in BSIP.
Percentage of parts to be determined by the Shop Supervisor.
Work closely with the Transportation Director and Shop Supervisor in the procurement of parts, to reconcile problems with invoices and to resolve issues with inventory deficits.
Fill parts orders for mechanics and Shop Supervisor.
Maintain battery room inventory, Seat room inventory, Glass Room, Fluid Room and ect.
to replenish inventory Assist Shop Supervisor with identifying and locating special order parts
Establish and maintain bin locations in the parts room to assist with locating parts Identify obsolete parts and process them for surplus resale.
Maintain and list items on the state surplus site.
Coordinate with the Shop Supervisor and Transportation Director to ensure parts are available to service vehicles at their scheduled interval maintenance to assure the vehicle is out of service a minimal amount of time.
This process is especially critical for yellow school
buses.
Manage the school bus warranty replacement program.
Follow up to assure credit is received from the vendor.
Prepare vehicle inventory reports for audits as needed Maintain files on all vendors
Keep parts room clean and organized so parts can be easily located.
Setup training classes for staff.
Plus any other assingments.
ACCEPTABLE TRAINING AND EXPERIENCE:
High school diploma or equivalent with at least 2 years of experience in automotive parts inventory, procurement, control and management.
Must possess the knowledge, skills and abilities to perform these duties.
This criteria includes knowledge of inventory acquisition and warehousing techniques, economic order quantity stock leveling techniques, accounting, bookkeeping and an extensive knowledge of automotive and medium duty trucks repair parts listings and their use.
PHYSICAL REQUIREMENTS:
Ability to communicate effectively in written and oral forms Ability to physically perform the basic life operational functions of walking, talking, hearing, climbing, balancing, stooping, kneeling, standing, sitting, crouching, pushing, pulling, lifting, grasping and repetitive motions.
Must be able to lift 50 pounds.
