Overview: The Real Estate and Lease Administrator will perform the day-to-day activities related to the lease administration functions and data management needs for Alex Lee, Inc.
The focus of the role will be on the retail facing portion of the business with some overlap to the Merchants Distributors, Inc.
(MDI) and other wholesale business entities.
This will include regular review of leases to ensure accurate lease abstraction, data governance, payments, pass-through operating cost invoice auditing, legal correspondence, Estoppel/SNDA review, and an all encompassing understanding of Landlord & Tenant Responsibilities.
Responsibilities: 1.
Ensures compliance with lease provisions and operating cost reimbursement review, auditing & payment (CAM, Insurance, Property Taxes, etc.
).
Includes communication with landlords and assistance in resolving disputes and coordinating solutions with other internal departments.
2.
Ownership of the inputs, updates, and maintenance of 3rd party lease administration platform (AMT Direct).
3.
Produces lease abstractions and interpretation for new and current leases while required coordinating with facilities, finance, and real estate personnel.
4.
Ensure accurate and timely processing of written correspondence including drafting and sending lease renewal letters, termination letters, commencement date agreements, and ownership of Estoppel and SNDA review process initiated by 3rd parties.
5.
Reviews all final legal documents requiring signature by applicable executive for accuracy and manages final signature, distribution and filing requirements.
6.
Ownership of existing NNN savings tracker with goal to expand tracking of other department level negotiated savings via renewal renegotiations, etc.
for executive presentation.
7.
Involvement with applicable process improvements as proposed or yet to be envisioned (automated payables processing system, capital approval systems, opportunity to organize electronic store and lease folders, additional periodic reporting, etc.
).
8.
Ownership of lease expiration tracking report, coordination with Real Estate leadership on decision making, and ultimate written notification to Landlords renewal decision(s).
9.
Work with 3rd Party Property Management Group on real estate activities required for owned real estate in conjunction with the Real Estate Manager.
10.
Collect monthly rent from subleasee’s and bill for year-end cam, tax, and insurance.
Work with internal departments as necessary to support annual budgeting process.
11.
Work with accounting on setting up rent and cam for leases and approve any changes to existing payments.
Process ownership changes and the necessary collection & coordination of required documents.
12.
Support other real estate management personnel on all real estate documents pertaining to selling property, subleases, buying land and general real estate documents.
13.
Assist in the preparation of meeting materials, presentations, reports, submittal packages and note taking as necessary.
14.
Support Alex Lee, Inc.
leadership including all Real Estate Personnel, SVP & General Counsel, other legal and administrative support.
15.
Support retail leadership including the Lowes Foods Sr.
VP of Finance.
16.
Assists both internal and external customers as needed including special projects as applicable.
Qualifications: - Candidate should possess the skill and knowledge generally associated with an Associate Level Degree in Accounting or comparable work experience of 3+ years in Real Estate, Finance, or Legal roles with similar responsibilities to the above.
- High integrity along with a strong work ethic & attention to detail.
- Proven ability to quickly and independently learn, and a strong desire for continuous learning.
- Demonstrated experience interpreting legal and lease language.
- Strong communication and conflict resolution skills.
- Ability to establish and maintain interpersonal relationships with stakeholders.
- Excellent computer literacy using spreadsheets, word-processing and databases (prior experience with lease administration platforms is a plus).
